Accounts Payable Specialist Responsibilities Set up and maintain vendor master files, including accurate payment-related information. Process invoices for payment, while reviewing appropriate supporting documentation and approvals to insure proper coding to appropriate expense accounts. Gather vendor W-9’s and process year-end 1099’s. Review rejected bills daily and correct in a timely manner. Ensure recurring bills are processed timely and follow up when needed. Prepare and maintain AP Aging Report and provide monthly metric reports and analysis. Manage monthly accounts payable journal entries, and AP-related balance sheet reconciliations (such as prepaid and accrued liabilities). Prepare and maintain monthly bank reconciliations. Review and audit Sales and Use Tax treatment of invoices. Process corporate credit cards, which may include obtaining support and entry into our accounts payable system. Process employee expense reports, including receipts validation and expense policy compliance. Backup Support of other AP Functions, ad hoc analysis, and special projects and tasks as needed. Education/Experience Bachelor’s Degree AP experience (2-3 years) Knowledge/Skills/Abilities Intermediate level Excel skills Experience with Quickbooks Online and Netsuite Experience with Bill.com Experience with Abacus or another employee expense reimbursement system General knowledge of GAAP Strong understanding of financial and operational controls Passion for end-to-end procurement process and improvements Strong attention to detail and accuracy Strong written and oral communication skills Ability to work collaboratively in a dynamic environment where adaptability is imperative.
