Job Description

The Executive Assistant (EA) provides day-to-day support to the Executive Director (ED) and will be responsible for interacting effectively with constituents at all levels of the organization including day workers, board of directors, employers and staff. As such, this person must possess exceptional interpersonal skills. The EA must also be able to anticipate the needs of the ED and ensure that she has the support she needs each day.

Job Duties

  • Provide administrative support including:
    • Managing scheduling, meeting invitations, and shared calendars
    • Assisting with meetings, logistics and note-taking as needed
    • Conducting research and creating reports
    • Assisting with draft communications for the ED
    • Creating and distributing routine reports as directed by the ED
  • Serving as the point-person for guests visiting the Day Worker Center
  • Setup of basic equipment at the Center and troubleshooting when needed
  • Assisting with matching employers with workers as needed
  • Managing and overseeing facilities maintenance
  • Managing office equipment and supplies
  • All other tasks, duties and responsibilities as assigned by the ED

Skills and Qualifications

  • Bilingual - ability to speak and write English/Spanish clearly and accurately
  • Microsoft Office (Excel, Word, Powerpoint)
  • Google drive (Sheets, Docs, Slides)
  • Familiar with social media usage (Facebook, Instagram, Yelp)
  • IT knowledge, sufficient to setting up equipment as needed
