JOB SUMMARY:

 

The Program Coordinator, Senior is a classified team member in the Student & Faculty Support Center which provides assistance to administrators, faculty and students. The incumbent provides high level administrative support to administrators and the Support Center's ongoing activities and programs. Specifically, this role primarily coordinates budgets, payments, purchase orders, independent contractor contracts for multiple departments and divisions. It handles complex budgetary and financial support and requires high level of skills in accounting, budgets and college processes. The incumbent is also required to be up to speed/ up to date with federal and state laws, compliance matters particularly around spending or budgetary matters.

 

This role demands a strong sense of urgency and the ability to work independently on assignments with sound judgment. The right candidate will have a strong sense of ownership and bias for action, be student-service oriented and the ability to meet tight deadlines. Having great organization skills and the ability to analyze financial reports and expenditures will ensure success.

 

On a day-to-day basis, the Program Coordinator, Senior may:

 

• support deans, associate VPs, Executive VP where needed

• provide reports, analyze finances and spending details

• organize, prioritize and appropriately handle time-sensitive, confidential information and ensuring attention required is addressed

• purchase and stock office supplies, and office equipment.

• assist the administrative team by creating efficient workflows, processes, and tracking goals

• assist deans and administrators in payment of bills and contracts

 

DEFINITION:

Under the direction of an assigned supervisor, provide overall direction and guidance to the day-to-day operations, problem solving and decision-making regarding an assigned large-scale and complex program. Implement program policies and guidelines; provide for program reporting and accountability; provide work direction and guidance to other program personnel; establish and monitor program budgets.

 

EXAMPLE OF DUTIES AND RESPONSIBILITIES:

Depending upon assignment, duties may include, but are not limited to, the following:

 

• Provide overall direction and guidance to the day-to-day operations, problem solving and decision making regarding a large and complex assigned program; implement program policies and directives according to District, federal or State guidelines.

• Prepare funds applications; prepare grant requests and serve as the primary contact for large programs or multi-programs.

• Plan, coordinate and prepare a variety of materials used in program literature, marketing, catalogs and brochures.

• Provide work direction and guidance to others assigned to the program; assign work to other classified personnel, students, volunteers and others; provide input to performance evaluations.

• Conduct regular meetings to communicate, review and revise program guidelines.

• Develop, recommend and implement program plans and objectives; coordinate delivery of services to program participants; assure participation guidelines are followed.

• Assure program expenditures are within allocated budgets; monitor budgets; propose budget changes and participate in project budget applications as necessary.

• Establish appropriate linkages to special populations or community groups served; promote program through participation in advocacy groups, associations and other local, regional or national organizations.

• Provide regular reports to management and federal/State agencies as requested; participate on program reviews; assure program compliance with federal or State program guidelines.

• Serve as liaison between program personnel, participants, clients, administrators, faculty and students; provide information, program requirements and other pertinent information.

• Develop, coordinate, promote and oversee a broad range of programs.

• Develop workshop materials, promotional materials and other program documentation.

• Operate a computer and other office equipment as assigned.

• Assist in curriculum planning and development; provide input to faculty and staff regarding program offerings.

• Serve as program administrator in the absence of program supervisors.

• Perform related duties as assigned.

MINIMUM QUALIFICATIONS:

 

• Understanding of, sensitivity to, and respect for the diverse academic, socio-economic, ethnic, religious, and cultural backgrounds, disability, and sexual orientation of community college students, faculty and staff.

• Any combination equivalent to a Bachelor's degree in a related field AND five (5) years related work experience.
