We are currently seeking a FT Staff Accountant in our Palo Alto office.  Responsibilities include:

  • Reviewing and entering expense reimbursement reports and honoraria for editorial committee members and for company employees
  • Reviewing and importing Corporate credit card transactions into accounting systems
  • Maintaining vendor data for editorial committee members and company employees
  • Maintaining government forms (W9, DE542, W-8 BEN)
  • Resolving issues related to honoraria and expense reimbursement reports, employee expense reimbursements and Corporate credit card transactions
  • Sending a written reminder to editorial committee members for non-submission of their reports for honoraria and expense reimbursement
  • Sending written reminders to company employees for non-submission of their expense reimbursements
  • Preparing annual accrual for Editorial Committee meeting expense and honoraria
  • Maintaining EFT cards (including CEO wire template)
  • Preparing and entering monthly bank journals in Great Plains
  • Acting as a backup for others on the Payable team
  • Providing assistance to the Accounting Manager as needed
  • Distributing incoming mail and processing outgoing mail (when regular business operations resume on-site)
  • Receiving visitors and ensuring they sign in as required (when regular business operations resume on-site)

Qualified candidates must have:

  • BS in Accounting/Finance and a minimum of 2 years of experience with general accounting and processing accounts payable
  • Strong knowledge of GAAP auditing practices and principles Strong knowledge of auditing practices and principles
  • Intermediate/advanced knowledge of MS Excel
  • Intermediate knowledge of Adobe and MS Word
  • Knowledge of Great Plains/Microsoft Dynamics software
  • Ability to demonstrate discretion and maintain confidentiality
  • Strong detail orientation skills, a strong work ethic, and outstanding analytical skills
  • A professional demeanor, excellent verbal and written communication skills and the ability to adapt easily
  • Ability to produce high quality and accurate work
  • Strong time management skills with the ability to prioritize tasks independently and meet deadlines
  • Previous experience with a not-for-profit organization is a plus
  • CPA is a plus
