Job Description


The Family Asset Development Program Assistant is responsible for providing administrative support to team members throughout the planning and implementation of educational, charitable or professional programs. Their duties include communicating between program participants and managerial staff, creating and updating program schedules and assisting in the planning and managing program events.


  • Preparing documentation for grants

  • Managing online resources

  • Managing the Program Manager’s calendar

  • Processing payments for vendors and suppliers

  • Attending staff meetings and taking minutes

  • Responding to emails and answering calls

  • Maintaining office calendars and sending out reminders of impending appointments

  • Typing letters and reports as may be required from time to time

  • Proofreading and making copies of documents

  • Assisting in the planning and overseeing significant events

  • Assisting in managing the program budgets

  • Making reservations for various off-site business meetings

  • Acting as a liaison between different departments

  • Relaying internal emails to staff

  • Reserving equipment and conference rooms for presentations and in-office meetings

  • Calling Community Members to remind them of their appointments

  • Other duties as assigned.

  • Business casual dress code is required.



  • Minimum: High School diploma or GED

  • Excellent customer service or equivalent experience

  • Knowledge of office practices and procedures

  • Experience with Budgets and Grants

  • Multilingual in a language commonly spoken by immigrants living in Santa Clara County (Spanish, Vietnamese, Mandarin, Cantonese, Tagalog, Korean, etc.) (preferred but not required)


  • Intermediate computer skills

  • Word processing proficiency

  • Experience in managing Budgets

  • Confidentiality: Job requires and adheres to California law regarding Welfare and Institution Code 5328

  • Excellent customer services

  • Friendly, dependable, flexible, and a team player.

  • Ability to deal with the public in a helpful and supportive manner, including interviewing skills. Interviewing skills training will be provided as needed.


  • Lifting requirements 2-30 lbs

  • Requires automobile, valid driver’s license, and auto insurance according to agency requirements

  • Work location(s) predominantly within Santa Clara County. Travel time and mileage are reimbursed.

  • Team and consumer driven environment

  • Frequent interruptions

  • Minimal environmental noise


  • Fingerprint background check clearance via Livescan

  • Must have TB test performed

  • Provide proof of COVID-19 vaccination and booster(s) status
