POSITION SUMMARY:
As part of the Catholic Charities of Santa Clara Human Resources team, this role will assist with the backend administration of the agency’s health and welfare benefits. This position requires someone with close attention to detail and excellent independent problem-solving skills.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Run various benefits-related reports from payroll and HR systems.
Conduct monthly audits to ensure data integrity across various record-keeping systems.
Identify inconsistencies among data and assist in processing the necessary corrections.
Submit information to Finance for timely payment of benefits invoices.
Assist in new hire benefits enrollment and mid-year benefits changes.
Process termination of benefits for newly separate staff.
Identify opportunities to enhance efficiency of current workflow and processes.
Conduct periodic hours worked look backs to identify staff who meet the criteria for a change in benefits status.
Administer ACA reporting process to ensure timely generation, furnishing and filing of ACA documents.
Create various reports or submit other benefits-related information to leadership as requested.
SUMMARY OF OTHER DUTIES:
Attend regularly scheduled team meetings and other meetings as assigned.
Participate in and support other HR team projects and initiatives as assigned.
Perform other HR/benefits-related duties as assigned.
QUALIFICATIONS:
EDUCATION AND EXPERIENCE
Associates degree or equivalent in business, human resources or accounting/finance is preferred.
2+ years of experience with office administrative work. Previous experience in HR/Accounting is strongly preferred. Previous experience working with HR/Payroll systems is highly desired.
Knowledge of employee benefits is a plus.
REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES
Advanced Excel skills. Must know how to manipulate data in excel to reconcile various reports.
Proficient with other typical office computer applications including email, calendar, internet, virtual meeting, etc.
Excellent analytical and problem-solving skills with a natural curiosity to find the root of the problem.
Strong communication skills. Must be able to communicate professionally both orally and in writing.
Keen attention to detail and accuracy.
Ability to maintain confidentiality and effectively handle highly-sensitive and personal information with sound judgement, tact and discretion.
Strong organizational and time-management skills with the ability to multi-task and effectively manage workload and priorities.
Ability to work both independently as well as in a team environment that encourages open communication and sharing of ideas and best practices.
PHYSICAL REQUIREMENTS
Ability to work at a desk/workstation for extended periods of time.
Ability to use typical office equipment (computer, telephone, fax machine, etc.).
Ability to lift up to 25 lbs on an occasional basis.

Criminal background check via livescan fingerprint
Must have TB test performed and submit results (if applicable)
Provide proof of COVID-19 vaccination and booster status
Automobile, valid driver’s license and auto insurance per agency policy; or have access to reliable transportation
WORKING CONDITIONS:
This position will be done in in a home/-office setting.
HOURS AND OTHER CONDITIONS:
Flexible schedule within standard office hours which are Monday through Friday, approximately 8:00AM to 5:00PM.
Occasional overtime may be required.
