Job Description

R & W Concrete Contractors has an immediate opening for a Construction Administrative Assistant at its offices in San Carlos, CA. R&W is a union concrete construction company specializing in large and high profile public works projects all over the Bay Area and Northern California, but has a small business office environment. This job is a 40 hourfull time position with potential for growth. Hours are 7:30 AM to 4:30 PM Monday through Friday.

 Essential Responsibilities and Duties

 Payroll:

Related duties include submitting certified payroll reports for public works projects by mail and online and making employment tax payments on time.

 Accounts payable and receivables:

Manage vendor quotes and check invoices for accuracy.

Process invoices for timely payment and obtain lien releases.

 Field Support: 

Support and coordinate with field operations on cell phone, safety, and other needs.

Coordination of lodging arrangements and schedules for field employees when needed.

Set up emergency medical care locations for projects, and manage workers compensation claims.

 Office management:

Maintain project binders; work with contractors and subcontractors on maintaining insurance requirements for projects; order office supplies; direct phone calls and mail, filing, and other related duties as required.  

 

What we're looking for:

  • Two years of college and at least two years of job experience demonstrating the ability to successfully complete all essential job function.
  • Flexibility and positive attitude.
  • Meticulous eye for detail.
  • Polite and courteous, and helpful phone answering skills.
  • Familiarity with public works construction paperwork requirements a plus.
  • Strong organizational skills, with the ability to maintain an accurate filing system. 
  • Accurate data entry skills.
  • Strong computer skills, including a proficient use of Microsoft Office Word & Excel. Knowledge of Construction Partner software a plus.
  • Must be good at coordination, meeting deadlines, and follow up.
  • Must have the ability to make filings and payments on time.
  • Have the highest level of discretion in handling sensitive/confidential information.
  • Ability to lift up to 30 pounds.
